Scanning a Document

When you click on the View/Scan button in your application or click on File then View/Scan in the application menu depending upon how the application is set up, a screen will display. Click on the second icon from the left on the Toolbar (Scan Image). Another screen appears and you will have to choose your Paper Source (either Flatbed, the default, or Document Feeder) and then have a choice of the type of picture you want to scan (Color, Grayscale, Black and White, or Custom). You may first want to preview how the document will look, if so click on the Preview button. Also, you may adjust the quality of the scanned picture by clicking on that line which is highlighted in blue. Once there, you may change the Brightness, Resolution or Picture Type. If you do make a change press the Reset button, and then click on OK. When ready to scan, press the Scan button. You will see a Transferring Data progress bar until complete. After this completes, then click on the Save icon (second from the right). If there are multiple pages, click on the drop down arrow to the correct page (next number) and follow the same process to scan the next page.

When you are in an Application that allows the scanning feature (Image Scanner, Invoice Matching Entry, Contract Master File, General Contracts, Returns, Purchase Order Entry, Purchase Order Receipt,), please be aware that certain tabs may need to be saved or fields must be selected before utilizing the View/Scan mode. The reason is, the scanned document must be linked to the object, for example the PO, Invoice or Contract Number. Please consult the Help File for that Application for the appropriate access information.

 

When in the Scanned Image screen, under File, there is a selection Load Image from File which when open allows the user to choose where to place the file and also to name the document and the file type.

Other options on the Toolbar include:

Print File - may choose Image size or Paper size

Select Scanner – may select a scanner by highlighting and pressing Select button

Toggle Panning Zoom

Zoom In

Zoom Out

Best Fit Image

Center Image

Reset Zoom

Cut to Clipboard

Copy to Clipboard

Paste to Clipboard

Undo Image

Toggle Annotation Mode

Invert

Rotate 90 degrees

Rotate 180 degrees

Effect Manager – provides a variety of filters and effects

Save

Delete

 

Please keep in mind that some of the screens may appear having different selections based on the model or type of scanner in use. System Options that may be pertinent to Scanned Documents:

Use Imbedded PDF Viewer For Images, under the System module, will determine if the system will use an embedded PDF reader or an external reader. Please note that an external viewer requires Acrobat Reader installed on the workstation to view PDF’s. An internal viewer requires Acrobat Reader installed on the workstation to use the EHS image viewer.

Various Data Paths: Business Agreement, CER, Contract, Equipment, General Contracts, Image, MSDS, PO, Receiving, Requisition, Returns, Vendor, Vendor Rep and Voucher.

The user may read about and select from the 3 Device Options for Scanning Documents.

The program FINDIMAGES may need to be added to the End of Day program, as this will mark the Image on File checkbox in the Inventory Master File.
