Process Non-Stock Requisitions
(ReqOrd.exe) Once a requisition has all been through all necessary reviews and has all needed approvals, it is ready for processing (see Review Non-Stock Requisitions and Review Stock Requisitions. This program will allow you to process only non-stock requisitions. (See Process Stock Requisitions for information on processing stock requisitions.)
First, decide how you are going to process non-stock requisitions from one of four tabs:
Buyer/Order Days, Department, Req(uisition) No., or Vendor
Buyer/Order Days - may select by All or Single Buyer, may also select by No Order Days, Vendor Order Days as set in the Vendor Master File or Department Order Days as set in the Department Master File.
Department - may Add, Delete or Clear List based on Department selection
Req. No. - may Add, Delete or Clear List based on Req. selection
Vendor - may Add, Delete or Clear List based on Vendor selection Only will display Vendors that ready for the specified Entity. Will restrict to vendors by entity by utilizig the Restrict to Entity button in the Vendor Master File.
When selecting to process by All Entities, a popup box display to confirm that the user wishes to process all entities.
Each tab will display how many records are available for processing in the Total Detail Lines to Process and Number of PO’s to be Created fields.
There are a series of check boxes giving you processing options which will determine how the ensuing purchase orders will be constructed. Check the boxes for the options you want after first selecting the Entity in the drop down:
The user may also set one requisition to a purchase order based on the PO Type Master File flag setting One Req Per PO with an associated PO Type.
After setting the parameters press the Process button to create Purchase Orders. A progress bar displays until complete and a Confirm screen displays asking if the user wishes to view the log file with the Purchase Orders that have been created.
When releasing a Purchase Order and that order is over budget based amounts entered into the Budget Master File an Information screen will display with the message, "The following lines will put you over budget and the Account Number, Budget Amount, current Amount, and each Line number displays with Material Code and the Extended Cost and states "Cannot Continue" or "Do You Want to Continue" based on the setting of the System Option, Budget Period Type Don’t Allow Over in the Materials Management module.
There is a System Option in the Requisitions module, PopUp EDI Fax Print, to allow for a popup screen for release selection, automatic or none.
When processing, there is a System Option, Allow Release PO Below Vendor Min, in the Requisitions module, which will display a pop up box titled PO Below Minimum Order Quantity for Purchase Orders that do not meet the Vendor minimum as set in the Vendor Master File or Entity minimum as set in the Entity Master File. The user will be allowed to choose either Do Not Release PO ( the default) or Release PO. This process will occur prior to the Temporary Log File (ETF) being created. There is another System Option, Hold Reqs Below Minimum, in the Requisitions module which will not allow creation of purchase orders when the Vendor Minimums are not reached when set to Y (Yes). Instead the program will continue to hold the lines and PO amount for that vendor and the existing requisition(s) are added to incoming requisitions until the vendor minimum threshold is met. Until that time it will display in the ETF as Not Created noting that it did not meet the Vendor Min and display the affected Requisition Numbers. Also, there is a System Option, Mark Error Items As Hold, in the Requisitions module, which will put items that could be ordered because of discrepancies in the ordering information On Hold instead of marking them as processed, thus forcing the users to requisition them again. Another System Option, PO Type Setting Hierarchy, under the Requisitions module will allow the user to choose which Master File default setting takes precedence, when setting the PO Type on a Purchase Order created from a Requisition.
There is a System Option, ReqOrd Exclude JIT, which will determine if stockless items will be excluded
There is a System Option, Send Processed Email, in the Requisitions module, which will send a "Processed" notification e-mail to the user who originally activated the requisition. This will be based on the proper selection in the System Option. The user must have a valid e-mail address set up in the User Master File on the User Info tab, to receive this notification.
In the Tools menu, the user may elect to View Prior Error Logs or View Prior Log Files.
