(VendorRepVisit.exe) Used to track Vendor representative visits within a facility. This program will work in conjunction with the Smart Label 430 Printer, to print the Vendor Name Tag (an adhesive peel off label) for vendor identification purposes during a visit. There is a System Option, Vendor Rep Visit Nametag Print, in the System module which controls whether a name tag will print and where based upon the setting selection.
Enter the Vendor ID or Vendor Name, or use the lookup for either. Select the Vendor Rep by using the drop down. If a Vendor Rep is not in the drop down use the Add Rep button to the right, which will enable the user to add a new vendor representative to the existing list in the Vendor Rep drop down while remaining in the program. When the button is utilized, it opens an Add Rep screen where the First Name and Last Name may be entered and an accept button accessed to complete the entry. The user may then select the newly added rep. If a vendor rep is not accessed a Warning box will display, alerting the user to enter the representative’s name by selecting Tools and then Freeform Mode or answering Yes to enter the Freeform Mode. When in the Add Freeform mode may enter a Vendor Name and Vendor Rep which are not in the Vendor Master File. If the Vendor Rep name is not entered another Warning box will display to remind the user to enter the representative’s name. There is a Message button which may be associated with a specific vendor representative. Select the vendor representative from the drop down, click the Message button and a Vendor Rep Message screen will display similar to a memo. Enter the message, when completed the Message button will display in red. The message will popup when the representative is selected. May enter in the Visiting Departments fields up to 3 departments using the drop down, if the System Option, Vendor Rep Visit Allow Dept Pick in the System module is set to Y (Yes). There is a Clear Form button which allows the user to clear information in all fields if necessary. Current Status will display as Blank, Checked In or Checked Out. Select the Check In or Check Out button to enter the proper activity. When selecting the Check In button is when the Vendor Name Tag will print to the Smart Label 430 Printer. The Last Check In or Last Check Out fields to the right will display with a time stamp. User may select how to display the grid by choosing a radio button at the bottom for Checked In, Checked Out or All Records.
Under Tools, may export the grid by selecting Export Grid and then choosing an Export Format. Also, may Add New Freeform vendor which removes the Vendor ID field and allows the user to manually enter the Vendor Name and Vendor Rep which will appear on the Vendor Name Tag after selecting the Check In button to initiate the print function if enabled. There is a System Option, Vendor Rep Enable Freeform, under the Systems module to enable the freeform mode. After utilizing the Freeform Mode may need to go back to Tools to uncheck the Add Freeform Mode to set the program back to the normal process. If the Vendor ID does not display it is in the Add Freeform mode.
